Order Management & Data Flow
Centralized order views, Google Sheets sync, and role-based data segregation.
The Problem
When you are processing 10–50 orders per day on TikTok Shop, the Seller Center order page starts to break down. You cannot filter by SLA urgency. You cannot see profit per order. You cannot share order data with your warehouse team without exposing your margins.
Most sellers solve this by exporting CSVs into Google Sheets. It works for a week — then the sheet becomes a graveyard of stale data, manual formulas, and conflicting versions.
The core issue is that different people need different views of the same data. Your warehouse team needs SKUs and SLA countdowns. Your finance team needs revenue and fee breakdowns. Your agency clients need a sanitized view with no cost data. One spreadsheet cannot serve all three.
The Manual Way
Without tooling, sellers typically follow this workflow:
- Log into TikTok Seller Center 2–3 times per day
- Export orders as CSV (limited to 5,000 rows per export)
- Paste into Google Sheets and manually add formulas for profit calculation
- Create separate tabs or sheets for different team members
- Manually update order statuses as they change
This approach has three fatal flaws:
- Data staleness: By the time you paste the CSV, some orders have already changed status
- No access control: Anyone with the sheet link sees everything — margins, costs, customer data
- Formula fragility: One wrong edit breaks the profit calculations for the entire sheet
The AxonRow Way
AxonRow solves this with three mechanisms:
1. Real-Time Order Sync
Orders sync from TikTok Shop automatically — every 30 minutes on the Starter plan, real-time on Growth and above. No manual exports. When an order status changes in TikTok, it updates in AxonRow within minutes.
2. Role-Based Data Views
Instead of one giant spreadsheet, AxonRow separates your data into purpose-built views:
- SLA Watch List: Order ID, SKU, quantity, shipping provider, and SLA countdown. No financial data. Built for warehouse teams.
- Profit Ledger: Revenue, 4-pool fee breakdown, COGS, and net profit per order. Built for founders and finance.
- Google Sheets Export: Configurable column profiles — push fulfillment-only data to your 3PL's sheet, or full financial data to your accountant's sheet.
3. Google Sheets Integration
For sellers who still want their data in Sheets (and many do), AxonRow streams order data directly into Google Sheets with configurable column profiles. You choose which columns each sheet gets — fulfillment-only for the warehouse, full financials for the founder.
Checklist
- Stop manually exporting CSVs from Seller Center
- Set up automated order sync (AxonRow or equivalent)
- Separate fulfillment data from financial data — different teams, different views
- If using Google Sheets, use configurable export profiles instead of raw data dumps
- Ensure order statuses update automatically — stale data leads to missed SLAs
